As an Administrative Assistant, your primary responsibilities will be to provide administrative support to the Associate Advisor to the CEO and other departments supported by Associate Advisor to the CEO. You will provide daily support company-wide under the direction of the Associate Advisor to the CEO. Duties may include receptionist tasks, data entry, general office administration and coordination with outside vendors.
Enter/process employee expense reports and Item Requests (IR’s)
Update company calendars, track meeting and vacation schedules
Coordinate meetings and events, including preparing and/or reviewing agendas, materials, meeting minutes, organize and setup meeting rooms
Create and coordinate catering orders for meetings and company BBQ’ s; order/pick-up lunch and dinner when needed
Greet visitors and assure they are properly checked-in
Answer phones and take messages as needed
Receive deliveries, sort mail, photocopying, faxing, filing and e-mail filtering
Run local errands
Make coffee, stock kitchen supplies and maintain cleanliness of common areas
Coordinate with vendors
Provide direction to outside contractors and service crews
Detail oriented with emphasis on organization
Ability to handle many tasks and prioritize assignments and duties
Pleasant and professional demeanor
Ability to work in an open environment
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
